Who You Are: A Dynamic, Business-Minded Executive Assistant
As our first EA, you will be the primary ambassador for our leadership team. You will be a crucial partner to our CEO in navigating competing priorities and goals through strategic time management and support. You will own, create, and protect the cadence and schedules of our leadership, and serve as our primary liaison to our Board of Directors.
You have sound business judgment and a proven ability to be proactive. You are a problem-solver by nature; you seek out areas where you can provide real value and impact. You act as an empathetic and trusted partner to our leadership team, and work with our CEO to create a personalized (and maintainable) day-to-day. You will also take ownership of the upkeep of our office space, including ordering and maintaining supplies and providing key access to new hires.
As our ideal teammate, you are professional, discreet, flexible, and have excellent communication skills. Each day will bring a different set of experiences; you are able to adapt quickly, know when to push and when to go with the flow.
How You’ll Contribute:
In support of our CEO, and general leadership and operations (75%-85%), you will:
- Provide cadence and structure to weekly schedules; facilitate internal meetings and coordinate follow-up actions from individual team members based on meeting outcomes. Schedule meetings and work days thoughtfully to ensure productivity and a focus on priorities.
- Own and manage CEO individual calendar and inbox.
- Serve as a first point of contact for the leadership team. This may include communications via email, phone, or other media.
- Assist individuals with booking travel and accommodations as needed; adjust schedules and calendars to reflect travel information and availability
This role also provides operational and facility support to our team and small Seattle office (10-15%):
- This is a hybrid role and maintenance of a consistent in-office presence is requested. An average of one day/week with ability to flex based on business need
- Partner with Operations and Marketing for ad hoc projects in support of long-term initiatives
- Model company culture, build trusted relationships, and cultivate transparent communication
- Help plan and implement team building initiatives (Lunch & Learn Workshops, Wellness Initiatives, Team Events, Annual Team Off-Sites)
- Coordinate company Wiki (via Notion)
- Manage company-wide calendar, including adding or adjusting monthly or weekly meetings
- Support and provide a positive office experience to ensure all needs are met (office supplies, access, general office amenities, liaise and manage communications with Property Manager)
What We’re Looking For:
To thrive in this role, you ideally have supported leadership team members in an administrative or project coordination role at a fast-paced organization. You are comfortable interacting with all types of communication styles and levels of team members, both internally and externally. You have outstanding communication and organizational skills; strong attention to detail, and thrive on creative problem-solving.
You also have some combination of the following:
- 2+ years of experience working with leadership team members at a technology startup or fast-paced company
- Experience communicating in a professional and accurate nature
- Comfort with G-Suite (Google docs, Gmail, etc.); experience editing and proofreading documents and presentations
- A can-do “make it happen” attitude: you are comfortable making decisions with little supervision or direction ( instinct and knowledge to select a path forward even if the right answer or mission is unclear)
- Sense of humor and ability to go with the flow
- A solid understanding of operations fundamentals, or previous startup experience
- Experience completing complex projects on time, within budget and with little direction

- An initial “phone” screen with our Director of Operations (45 minutes); if there’s a match we’ll schedule an interview loop with the team.
- An Interview loop with 3-4 interviews (1 hour each) with the team members you will be potentially working with
